1. General Overview
All services provided by Valentia Novis become binding once payment has been processed or a service has been ordered or accepted by the client or customer through Valentia Novis’ webpage or electronic mail. Because our services are customized for individual clients and include digital materials as well as dedicated professional consulting time, refunding is limited according to the following terms.
2. Service-Specific Terms
A. Language Training: Finnish and English Language Courses
Language courses include both live instruction (online or in-person) and access to electronic learning environments and materials.
- Cancellation well in advance: If the client cancels their registration at least 14 days before the official start date of the course, a 100% refund of the paid course fee will be issued (minus any applicable transaction or processing fees).
- Late cancellation: If the cancellation is made less than 14 days before the course begins, 50% of the course fee will be retained by Valentia Novis to cover administrative overhead and prepared materials.
- After the course starts: Once the course has commenced or the client has received login credentials to the online learning environment, no refunds will be issued. Partial refunds or transferring the course credit to a future semester will only be considered under exceptional circumstances (force majeure) supported by medical documentation.
B. Career Counseling
Career counseling is based on individual appointment sessions and comprehensive profile analyses.
- Rescheduling or cancelling a session: The client may reschedule or cancel a booked counseling session free of charge up to 24 hours before the scheduled appointment.
- Late cancellation or no-show: If a session is cancelled less than 24 hours in advance, or if the client fails to attend the scheduled meeting, the session will be considered used, and no refund or replacement session will be granted.
- Service packages: If a client purchases a multi-session package and wishes to discontinue after and X number of sessions, Valentia Novis will always retain 50% of the value of the services. The remaining 50% of the total value will be divided by the total number of sessions, and the unused remaining number of sessions value will be refunded to the client. See the formula below.
C. Visa & Residence Permit Consulting
Visa application consulting consists strictly of expert advice, document verification, and guidance through official application portals.
- Before document review begins: If the client cancels the service before Valentia Novis has begun reviewing the application files or held the initial consultation, 80% of the service fee will be refunded (20% is retained to cover administrative costs).
- After work has commenced: Once Valentia Novis has initiated the document audit or provided expert analysis, no refunds will be issued, regardless of whether the process ultimately results in the visa being granted.
- Important notice: Valentia Novis is not responsible for decisions made by the Finnish Immigration Service (Migri) or embassies. A negative visa decision does not entitle the client to a refund, as the professional consulting work required remains identical.
3. Government Fees and Third-Party Costs
Service fees paid to Valentia Novis do not include government processing fees (such as Enter Finland immigration application fees), university application fees, or other third-party expenses (e.g., health insurance, official translations). These fees must be paid directly to the respective entities, and Valentia Novis bears no responsibility for their refunding.
4. How to Request a Refund
- All refund and cancellation requests must be submitted in writing via email to: info@valentianovis.com.
- The request must include the client’s full name, the service purchased, a copy of the payment receipt, and the reason for the cancellation.
- Approved refunds will be processed within 14 business days using the same payment method used for the original transaction. The client is responsible for any potential international wire transfer or banking fees incurred during the refund process.
